Education and Conference Planning Coordinator


Women in Film and Television Atlantic (WIFT-AT) is a non-profit professional association that advocates for and advances the careers of women working in film, television and screen-based media based in Atlantic Canada. Reflecting on the collaborative nature of the screen-based industry in the region, WIFT-AT has been operating since 2009 through the extraordinary efforts of a volunteer Board of Directors, many gracious industry volunteers, and ongoing support from Nova Scotia’s Job Creation Partnership Program (JCP).


The Education and Conference Planning Coordinator is responsible for the delivery and organization of WIFT-AT’s educational programs including the annual Women Making Waves Conference in March 2021. This position is under the direction of the Member Services Coordinator and works closely with the Program Committee and individual members of the Board.


Due to the COVID-19 pandemic, the Education and Conference Planning Coordinator will work remotely and maintain contact with WIFT-AT members and the board through a variety of communication channels including email, zoom, and direct phone calls until further notice. Thus, this position is currently open to anyone permanently residing in Nova Scotia. The organization will resume use of an office location in the Halifax, NS, area at a later date.


Working Conditions


Location: Virtual (Individual can work remotely from home anywhere in Nova Scotia)

Length of Contract: 26 weeks

Ideal Start Date: Immediately

Hours: 35 hours per week (variable hours, occasional evenings and weekends)


Qualifications:


The candidate should possess good written and verbal communication skills and experience in MS Word, Excel, Zoom and Google Docs. Candidates should also have experience with and knowledge of social media platforms. Prior experience with event planning, particularly virtual events, will be viewed favourably. A background and/or interest in the film industry would also be viewed favourably, but is not necessary. This a learning position and the successful applicant will work with support and supervision from WIFT-AT Board and committees.


General Responsibilities:


The Education and Conference Planning Coordinator will be responsible for the planning and coordination of scheduled educational programs, as well as the planning and follow-up for the annual WIFT-AT conference, Women Making Waves. This year, the conference will be delivered entirely online, and the successful candidate will be integral to its delivery. The candidate will work with the WIFT-AT board to develop and produce the sessions and conference. The candidate will be responsible for program development, proposal writing, budgeting, member communications, and overall coordination of all education activities and the Women Making Waves conference.


Research

Working with WIFT-AT board and committees to research potential workshop leaders, keynote speakers, and funding possibilities.


Business Communication

Corresponding with WIFT-AT members as well as the WIFT-AT board and committee members, proposal writing and budget preparation.

  • Attend relevant committee meetings either in person, via phone, Zoom;

  • Always communicate with committees to ensure all activities are arranged within budget.

Project Planning

Working with the Programming Committee, the candidate will prepare a critical path for program education scheduling, including the conference. The candidate will work closely with the Digital Development Coordinator to deliver a virtual event in 2021.


Project Implementation

Overseeing the event(s) schedule and coordinating the different heads of departments to deliver the event including the programming, technical, promotional and logistical aspects of the education sessions and the conference.

  • Initiate, organize and manage guest speaker arrangements;

  • Collect guest tech preferences and collaborate with tech services provider for set up;

  • Schedule and oversee tech tests/rehearsals;

  • Update and administer online hospitality form, including direct follow up with guests;

  • Coordinate with the volunteer committee to ensure adequate support per event;

  • Collate and prepare guest packages, including appropriate production of honorariums;

  • Oversee production of the digital event programs;

  • Research and implement a digital ticketing process for each program and the WMW Conference;

  • Set up Web-pass sales through Wild Apricot/Paypal for each event.

Program Evaluation

Preparing the final budget report, coordinating final reports from heads of departments, delivering final reports to funders and stakeholders.

Digital Development Coordinator


Women in Film and Television Atlantic (WIFT-AT) is a non-profit professional association that advocates for and advances the careers of women working in film, television and screen-based media based in Atlantic Canada. The Digital Development Coordinator is a new role and has been specifically created in response to the global pandemic. The Digital Development Coordinator will assist WIFT-AT in pivoting the organization from face-to-face events to delivering a virtual experience. This position is under the direction of the Member Services Coordinator and will work closely with individual members of the Board and other organizations involved in the film industry across Canada.

Specifically, they will be responsible for the technical support needed to provide ongoing learning opportunities and outreach for our members.


Job Components:


Research and Content Creation

Researching what other organizations have done to comply with COVID-19 regulations and how to present a virtual experience. This will include knowledge of best practices for Zoom meetings, webinars, podcasts, conferences, and other forms of virtual programming and communications. The Coordinator will work with members of committees, including the Podcast Committee, Women Making Waves Conference Committee, Membership Committee, and the Program Committee.


Strategizing

Creating an overall strategy for the deliverance of program content and advising the Board on the best use of resources, including the WIFT-AT website, membership database and in collaboration with the other coordinators, work with the committee members to develop a best practices guideline to move the organization forward.


Description of Duties

The Digital Development Coordinator will work collaboratively with the staff and members of the Communications Committee to ensure the successful outcomes of the Educational Programming Committee and the Women Making Waves Conference.

  • Research and compile a database of best practices of working in a virtual environment;

  • Troubleshoot all technical issues as they arise, both within normal operations of the organization and while delivering content to our members;

  • Set up, execute and manage the technical aspects of program delivery;

  • Work with the membership database (Wild Apricot) to ensure the best use of the technology is being utilized;

  • Assist Communications Committee, in collaboration with the Communications and Social Media Coordinator, in the development of a new website launching in 2021;

  • Attend relevant committee meetings either in person, via phone, Zoom;

  • Work with the Podcast Committee to ensure all technical needs are met for delivery of the proposed series;

  • Create analytic tools to assess the performance of events;

  • Work with other coordinators to develop and complete project wrap reports including survey summaries, statistical analysis, media highlights and clippings;

  • Educate relevant stakeholders on processes and deliver “how to” manuals for each event.

Qualifications:


The candidate should possess very good written and verbal communication skills and experience in MS Word, Excel, Zoom, and Google Docs. Candidates should also have experience with and good knowledge of virtual production tools, including podcasts, webinars and virtual delivery of content. Experience in website development, particularly with WordPress, will be viewed favourably. A background and/or interest in the film industry would also be viewed favourably, but is not necessary. This a learning position and the successful applicant will work with support and supervision from WIFT-AT Board and committees.

Communications/Social Media Coordinator

The Communications and Social Media Coordinator will be responsible for developing and implementing a Public Relations campaign for the 2020-2021 Programming Sessions including Women Making Waves (WMW) conference and maintain the organization’s existing social media platforms, (Facebook, Twitter, Instagram). Specifically, they will be responsible for conference delegate outreach, website updates, Facebook WMW updates, member email blasts and assist the e-newsletter editor with the monthly publication.


Job Components:


Research and Content Creation

Researching what's current in the film and television industry and what might be of interest to WIFT-AT members. The Coordinator will write blog posts for Women Making Waves, and find content for the various social media platforms, including text, picture and moving image media.


Strategizing

Creating an overall communications strategy for the Women Making Waves conference using all modes of communication at the organization’s disposal including traditional media, social media, advertising and direct emails.


Online Maintenance

The Coordinator will be tasked with updating the website, uploading and creating buttons, using widgets, links, embedded content, etc., updating our various social media and online platforms, (especially related to programming and the conference), and online registration of delegates and ticket purchases.


Description of Duties:


The Communications and Social Media Coordinator will work collaboratively with the staff and members of the Communications Committee to ensure the successful outcomes of the Programming Committee and the Women Making Waves Conference.


  • Compile a database of relevant interest groups for industry engagement and promotion of activities;

  • Execute and manage social media marketing plan and campaigns under the direction of the Communications Committee;

  • Write press releases;

  • Develop email distribution list management through the Membership database (Wild Apricot);

  • Assist in the development of and content creation for the new WIFT-AT website launching in 2021;

  • Develop marketing campaign templates;

  • Attend relevant committee meetings either in person, via phone, Zoom;

  • Seek and coordinate media interviews;

  • Create tracking and analytic tools to track outcomes of marketing initiatives including exit surveys;

  • Develop and complete project wrap reports including survey summaries, statistical analysis, media highlights and clippings (including other Committee reports);

  • Maintain Social Media presence via WIFT-AT accounts: Facebook, Twitter, Instagram;

  • Put together WAVE Awards Committee and call for submissions and monitor their progress/complete WAVE Awards activities.


Qualifications:


The candidate should possess very good written and verbal communication skills and experience in MS Word, Excel, Zoom, and Google Docs. Candidates should also have experience with all social media platforms. Graphic design and / or web design skills will be viewed favourably. A background and/or interest in the film industry would also be viewed favourably, but are not necessary.
