Women in Film and Television - Atlantic (WIFT-AT) is a non-profit professional association that advocates for and advances the careers of women working in film, television and screen-based media based in Atlantic Canada. Reflecting the collaborative nature of the screen-based industry in the region, WIFT-AT has been operating since 2009 through the extraordinary efforts of a volunteer Board of Directors, many gracious industry volunteers, and one permanent part-time staff member, the Member Services Coordinator.

The Member Services Coordinator is responsible for the day-to-day operations of Women in Film and Television - Atlantic. This position reports directly to the Board Chair and works closely with individual members of the Board and other organizations involved in the film industry across Canada.

Due to the COVID-19 pandemic, the Member Services Coordinator will work remotely and maintain contact with WIFT-AT members and the board through a variety of communication channels including email, zoom, and direct phone calls until further notice. Thus, this position is currently open to anyone permanently residing in Atlantic Canada. The organization will resume use of an office location in the Halifax, NS, area at a later date.

Working conditions

Location | Virtual (Individual can work remotely from home anywhere in Atlantic Canada)

Length of Contract | through to June 30, 2021 with option to renew

Ideal Start Date | October 19th to October 26th, 2020 (as soon as possible)

Hours | 25 hours per week (variable hours, occasional evenings and weekends)

Description of Duties

Reporting directly to the Board of Directors through its Chair, the Member Services Coordinator has six major areas of responsibility:

  1. Human Resources - works with temporary and part-time staff members;

  2. Financial and Administrative Operations - works with part-time bookkeeper and Board Treasurer;

  3. Board and Member Relations - is the first point of contact for WIFT-AT members and partner organizations;

  4. Programs, Special Events, and Projects - manages the operations of external WIFT-AT related activities either virtually or in person;

  5. Sponsorship and Fundraising - works with the members of the Development Committee to ensure adequate funding is received from external sources;

  6. Communications and Marketing - maintains the lines of communication of the organization within the Atlantic Canadian screen industry.

Responsibilities include, but are not limited to, the following:

  • Ensure the successful outcomes of day-to-day activities and WIFT-AT programming and initiatives;

  • Facilitate effective communications, both internally and externally;

  • Work with the planning committee to host the annual Women Making Waves Conference in March (virtually for 2021);

  • Compile and maintain a record of WIFT-AT activities;

  • Maintain accurate records of financial transactions at the direction of the Treasurer and bookkeeper;

  • Through the Wild Apricot system, manage the membership database and keep accurate records of members;

  • Respond to all correspondence and inquiries from the membership;

  • Maintain the WIFT-AT website and supervise any changes;

  • Manage a team of temporary and part-time employees and volunteers;

  • Attend relevant board and committee meetings either in person, via phone, Skype.

The Member Services Coordinator will also play a key role in several major initiatives for 2020-2021.

Qualifications

  • Excellent time-management, multi-tasking, and organizational skills;

  • Ability to work independently, as well as collaboratively with the WIFT-AT Board;

  • Excellent written and verbal communication skills;

  • Proficient in Zoom, Microsoft Office, and Google Docs;

  • Experience with all social media platforms;

  • Experience in managing teams;

  • Must reside in Atlantic Canada and able to work flexible hours.

Assets

  • Familiarity with WordPress, Wild Apricot, and/or QuickBooks;

  • Experience working in non-profit settings, particularly volunteer-run organizations;

  • Experience with graphic design and/or web design;

  • Experience in grant writing and/or fundraising;

  • A background and/or interest in the film industry would be viewed favourably.
